POSITION DESCRIPTION

To provide administrative, clerical and reception services to the Social Services Department and programs.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Greets visitors and clients, offers clerical support and acts as Office Manager to the Social Services Department.
  2. Maintains a high level of confidentiality regarding clients, Child Protective Team (CPT) programs and related agencies.
  3. Prepares grant or contract funding proposal applications and renewal applications with authorizing Council resolution and assures proposals are complete.
  4. Collects and reviews incoming requests for payments and requisitions for approval by the Social Services Director.
  5. Performs complex clerical procedures.
  6. Prepares purchase orders and/or check request payments relating to foster care, adult custodial care and other necessary payments.
  7. Prepares files for archiving as needed.
  8. Complete background checks of prospective Foster Parents.
  9. Act as the General Assistance representative as needed.
  10. Other job related duties as assigned by the supervisor.

KNOWLEDGE, SKILLS & ABILITIES

  1. Must have an Associate’s degree and have three (3) years’ experience in office practices and procedures.
  2.  Must be proficient in word-processing and data base management.
  3. Must demonstrate knowledge of basic accounting and/or bookkeeping principles.

  1. THIS POSITION REQUIRES COMPLIANCE WITH THE INDIAN CHILD PROTECTION and FAMILY VIOLENCE PREVENTION ACT PUBLIC LAW 101-630; 25 CODE of FEDERAL REGULATIONS PART 63 – INDIAN CHILD PROTECTION and FAMILY VIOLENCE PREVENTION; CRIME CONTROL ACT OF 1990, EMPLOYEE BACKGROUND CHECKS; and EXECUTIVE ORDER 12968, ADJUDICATIVE GUIDELINES AND THEREFORE MUST SUCCESSFULLY COMPLETE AN EXTENSIVE BACKGROUND CHECK BEFORE START EMPLOYMENT.
  2. This position requires that the candidate be a mandated reporter.
  3. Excellent communication skills, both verbal and written, with ability to work under team concept in positive manner with supervisor, coworkers, and community.
  4. Ability to operate computer and knowledge of standard office software applications; attention to detail and ability to meet deadline.
  5. Must be a self-starter and possess a knowledge of the purpose and scope of public welfare programs in particular the Bureau of Indian Affairs (BIA) and able to coordinate several programs simultaneously.
