POSITION DESCRIPTION

Serve as key personnel to the department: receive, direct, and screen visitors, handle telephone calls and provide assistance or technical information concerning policies, procedures and other details.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Lends clerical support to the Tribal staff as needed
  2. Receives and distributes telephonic facsimiles (faxes)
  3. Maintains scheduling-board for the Conference room/ Council Chambers
  4. Assist with public postings, agenda and other official announcements
  5. Maintains Administration Personnel in/out board
  6. Completes the Application for Privilege Tax Exemption, as requested
  7. Assists with developing purchase orders for office stationary, equipment or services
  8. Ensures that supplies are readily available when needed, such as copier paper, fax machine paper and timecards, monitors copy machines for jams, paper and other operational problems
  9. Contacts vendors for various office machines as the need arises
  10. Initiates monthly payment for the copier service and postage machine
  11. Types correspondence as other duties permit
  12. Coordinate community meetings, facilities, and special affairs as required
  13. Conduct inventory of various items. Maintain and stock office supplies and materials as needed
  14. Maintain compliance with the U.S. Postal Services and mailing of all outgoing mail and distribution of incoming on a daily basis as needed. Monitor the use of the postage services
  15.  Respond to requests or complaints from the general public; refer inquiries to the appropriate individual or department; research and assemble information as directed
  16. Act as the liaison with Finance personnel regarding payment distribution and payment procedures
  17. Maintain confidential files and assist with the implementation to safeguard all department property in compliance with appropriate management guidelines
  18. Type, file, and handle secretarial and clerical office matters for the administrative staff, such as reports, memoranda, letters, and other correspondence
  19. Other job related duties as assigned by the supervisor

  7. Demonstrate ability to exercise sound judgement and decision making

QUALIFICATION REQUIREMENTS

  1. High School Diploma or GED equivalent or at least two (2) or more years as a receptionist, front desk or clerical/secretarial experience
  2. Excellent customer service skills
  3. Maintain strict confidentiality
  4. Must possess a Nevada valid driver and be insurable under the Tribe’s vehicle insurance policy
